Shared calendar: one resource, multiple staff, precise capacity
A shared calendar lets several staff members or bookings share a physical resource, such as a salon chair, sports court, treatment room or shared equipment. You set how many bookings can use it at once; the system enforces that limit on every booking, including online guest bookings.
What does this mean in practice?
Ideal for salons where several hairdressers share chairs; sports and wellness venues with courts, halls or treatment rooms; and any service that needs accurate tracking of a physical resource's use.
Key Benefits
Several staff members can use one resource: a booking reserves BOTH the staff member and the resource, preventing double bookings for either.
Link it to a service: every booking of that service — online guest, admin or staff — automatically uses the resource's capacity.
Overbooking protection: when a resource is at capacity for a time slot, the system blocks further bookings for it.
Resource calendar: a timeline shows who (staff member and guest) has booked each resource and when.
How to use it in 3 steps?
- 1
Create a shared resource
In Staff → Resources, enter the name, type (chair/equipment/room) and capacity — the number of simultaneous bookings allowed.
- 2
Link it to the service
Select the shared resource in the service editor. Every booking of that service then uses its capacity, without overbooking.
- 3
Track usage in the resource calendar
The Resource calendar shows each resource's bookings on a timeline, with staff and guest names, capacity information and fully booked time slots marked.
with Google Calendar's two-way sync and built-in conflict checking, double bookings are practically eliminated. This is the typical outcome when private calendars are also set up as a shared source.
How does it fit with the other features?
What is a shared resource?
A shared resource is a physical item used by several bookings or staff members: a salon chair, sports court, treatment room or shared machine. Create it with a name, type and capacity, and the booking system will track how many bookings it can accommodate at once. A chair usually has a capacity of 1; a shared court might have 5 — as many simultaneous uses as you allow.
One chair, several hairdressers
If several staff members use one chair across shifts, add it as a shared resource with capacity 1. A booking reserves both the hairdresser (staff member) and the chair: two bookings cannot use that chair at the same time, even if two hairdressers are available separately, and one hairdresser cannot be booked in two places at once.
One court, several simultaneous bookings
If a court or hall can accommodate several groups or coaches at once, set its actual capacity, for example 5. The system allows five simultaneous bookings but blocks a sixth, so the court is never overbooked.
Service linking and automatic capacity usage
Link the shared resource to a service, for example Court hire → Large court. Every booking of that service — online guest bookings, admin entries and staff-created bookings — then automatically uses the resource's capacity, and the limit applies to all of them. No manual assignment is needed, and overbooking is prevented.
Resource calendar: who booked what and when
In the separate Resource calendar view, select a resource to see its daily bookings on a timeline: when they take place and which staff member and guest they belong to. The header shows capacity and peak daily usage, while fully booked time slots are marked.
