Registration and basic settings
The first step is registration that starts your 14-day trial without a credit card — just an email address or Google login is enough. The onboarding wizard walks you through your account basics (business name, contact, booking URL), then you set up your services: name, duration, price, description. Can be activated: Google Calendar push sync — private events block time slots. Your booking page is then already live, and your guests can book right away — with an average setup time of 15-30 minutes.

Working hours, calendar and notifications
In the second step, you set your working hours (weekly, daily, exceptions, time off), and connect your Google Calendar account so your private events also block booking slots. You decide which email templates are active (confirmation, reminder, follow-up) and when they go out (e.g. 24 hours before). In the Basic and Pro plans, you can also add SMS reminders. How does calendar sync help?
Google Calendar push sync helps align your existing commitments with bookings made in AI Booking. Time slots booked in your calendar automatically block bookable slots — so a guest can't choose a time when you're at a private event.
Why is an accurate service duration important?
If every service has the correct duration (e.g. haircut 30 minutes, coloring 90 minutes), the system knows exactly when you're free to receive a new guest. You can also set a buffer time (e.g. 10 minutes of cleanup after every treatment) so bookings don't overlap.
Multiple staff members with separate calendars
In the Pro plan, up to 5 staff members can work in one account, each with their own calendar, own Google Calendar account, own Stripe sub-account. The guest can choose a staff member during booking, or the system can assign the next available staff member.
Transparent admin calendar
In the admin interface, every booking is visible in a week or day view calendar, color-coded by staff member. You can modify it with drag-and-drop, and every change updates instantly in the guest's calendar too. The admin view also works on mobile.
Frequently Asked Questions
Does Google Calendar sync rule out all double bookings?
The goal is to reduce risk and improve transparency. If all your private and business appointments are in Google Calendar, and all your bookings are in AI Booking, the chance of double bookings is minimal. The exact behavior also depends on your settings.
Also useful with multiple staff members?
Yes, especially when you need to manage the schedule of multiple staff members or resources. In the Pro plan, every staff member can keep a separate calendar, and the guest can choose a staff member when booking.
What if a private appointment comes up?
Simply put it in Google Calendar — thanks to push sync, the system automatically blocks that time from the bookable slots. In the AI Booking admin you can also manually add a blocking time slot.
Can I set a buffer time between two bookings?
Yes, a buffer time can be set per service (e.g. 10 minutes for cleanup, or 5 minutes for documentation). It gets blocked automatically, so bookings don't overlap.
How can breaks and lunch time be handled?
In the working hours settings, you can add breaks: lunch time, coffee break, or any block. These are automatically subtracted from the bookable slots.
What happens if a double booking still occurs?
In a well-configured system this is very rare. If it does happen, the admin gets notified, and it can be traced back through the booking history (audit log). The solution may be to move one guest to another free slot, plus an apology email.
Is multi-location support available?
The locations table already exists in the system, but the full multi-location feature (separate location-level calendar) is under development. If your business operates in multiple locations, we currently recommend a separate AI Booking account per location.
